About this policy
JNV Krishna Alumni Association connects people and helps them as students, professionals, friends, relatives and citizens. It is a social network where alumni share information and media, and where members search for and reconnect with their associates.
This policy applies to jnvkaa.org, which is run by the Jawahar Navodaya Vidyalaya Krishna Alumni Association (JNVKAA). It is our notice under the Digital Personal Data Protection Act, 2023 and the DPDP Rules, 2025: it explains what personal data we process, why, for how long, and how you can use your rights.
Public and private information
Only your public information is revealed; your private information is not. JNV Krishna Alumni Association lets you decide which information is private and which is public, and you may change your privacy settings at any time from your account.
- Your contact details (mobile number, email address, home address) are never shown on the public website.
- Inside the members' area, verified alumni can see the profile details you have chosen to share.
- Board members' names, photos, posts and batch appear on the public Board page.
What we collect
- When you register: your name, batch, contact details and the profile details you choose to add (for example profession, city and photo).
- When you donate: your name, batch, contact details, the amount, the cause and the payment status.
- When you contact us or make a complaint: your name, contact details, your message and, for complaints, the link to the content you are reporting.
- When you use chat: the details in the Chat section below.
- When you browse: essential cookies that keep you signed in and secure, and security logs (time, page, IP address). Analytics data is collected only if you accept analytics cookies.
How we use it
We use this information to run the alumni network: to verify alumni, help members reconnect, organise events and reunions, acknowledge and account for donations, keep the community safe, handle complaints, and reply to your messages. We do not sell your personal information, and we do not use it for advertising or profiling.
Donations and the donor wall
To thank donors and to stay transparent, confirmed donations may appear on our donor wall and in batch-wise summaries. The donor wall shows only a shortened name (your first name and the initial of your surname, for example “Deepak C.”), your batch, the cause, the amount and the date. It never shows your email address or mobile number.
If you would rather not appear on the donor wall, write to [email protected] and we will remove your name.
Chat
Chat lets verified members talk in their batch room, the community room, groups and direct messages. Nobody is added to a chat without agreeing first. This section is our notice for chat.
What we store
- The messages, reactions, stickers, photos and files you send.
- The rooms you have joined, your role in them, the invitations you send or receive, and the consents you gave (what you agreed to, and when).
- Your read position in each room, so we can show your unread count, and your chat settings.
- Reports you make, and reports or moderation decisions that concern you.
- Technical records: the time of each action, and your IP address in our security logs.
We never store typing indicators or online status. Chat has no advertising, no analytics and no profiling.
Why we use it
To run the chat you joined, to keep it safe (moderation and abuse prevention), and to meet our legal duties, such as handling complaints and keeping records under the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021.
Who can see what
- Room members see the messages posted in that room, with the sender's name, batch and profile photo. In batch and community rooms you see messages from the time you join.
- In a direct message, only you and the other person see the conversation.
- Moderators see a message only when someone reports it: the reported message and up to five earlier messages the reporter could see. They cannot browse rooms, search messages or open direct messages.
- Site administrators cannot read chats. There is no screen in the admin console that opens a room or a conversation.
- Room admins are members of their room, so they see what every member of that room sees. Their moderation actions are recorded.
- Our hosting provider stores the data on our behalf, as a processor. We do not share chat data with anyone else, except an authority with a lawful order.
Encryption
Chats are encrypted in transit and stored on encrypted servers. They are not end-to-end encrypted. JNVKAA staff can't read your chats through the portal; moderators only see messages that are reported to them.
In practice: every connection uses HTTPS or secure WebSockets (TLS 1.2 or later), and the database, backups and files sit on encrypted storage. Database access is limited to named operators, and maintenance access is logged.
Your consent, and how to withdraw it
- Before you join a room you see a short summary of the rules and tick a box to confirm that you are 18 or older and agree to the Community Guidelines and this notice. Choosing “Not now” records nothing.
- Leaving a room withdraws your consent for that room. It takes two taps: the room menu, then Leave.
- “Turn off chat” in your chat settings leaves every room and deletes your chat profile.
- Messages you have already posted stay in the room, under the retention periods below, unless you delete them or ask for erasure.
How long we keep chat data
| Data | Kept for |
|---|---|
| Messages in the community room | 2 years, rolling |
| Messages in batch rooms | 5 years, rolling (a batch may choose 2 years) |
| Group and announcement rooms | 3 years (the room can choose 1, 3 or 5 years) |
| Direct messages | 3 years after the last message in the conversation |
| A message you delete for everyone | Its text and attachments are removed straight away |
| A message removed by a moderator | Hidden straight away; a sealed copy is kept for 180 days after the decision, as the IT Rules require, or longer if the law requires it |
| Reports, sanctions and complaints | 3 years after they are resolved |
| Records of your consent | While you use chat, and 1 year after |
| Security and audit logs | At least 400 days |
| Your chat data downloads | 7 days |
Download or erase your chat data
- Download: “Download my chat data” in your chat settings prepares a file with your own messages, the rooms you belong to, your consents and the reports you made. Messages written by other people are not included, because they are their personal data.
- Erase: choose “Erase my chat data” in your chat settings, or write to the Grievance Officer. We email you 48 hours before the erasure so you can change your mind. We then delete your messages, attachments, reactions, memberships and chat profile; in rooms your past messages show as “Message removed” from a “Former member”.
- What we must keep: sealed copies of removed content inside the 180-day legal window or under a legal hold, complaint records (with your name replaced by a code), and consent records for one year.
Children
The portal is for alumni of JNV Krishna, who are adults by the time they pass out. Chat is open only to verified members who are 18 or older, and each member confirms their age before joining a room. If we learn that a chat user is under 18, we close their chat access and delete their chat data. We never track, monitor the behaviour of, or target advertising at children.
Cookies and analytics
We use a small number of cookies. Google Analytics runs only after you choose “Accept analytics” in the cookie banner, and you can change that choice at any time. Our Cookie Policy has the details. The members' area and chat never load analytics. To keep out spam bots, our sign-in, registration, password reset, contact and complaint forms use Google reCAPTCHA, which sends Google information about your browser and how you use that page, under Google's Privacy Policy and Terms of Service.
How we protect your data
We use encryption in transit and at rest, access controls, and logs of who did what. We keep security logs for at least a year. If a data breach affects you, we will tell you without delay, and report it to the Data Protection Board of India within 72 hours and to CERT-In within 6 hours, as the law requires.
Your choices and rights
- Update your profile and privacy settings from your account at any time.
- Change your cookie choice using .
- Ask for a summary of your data, a correction, or erasure, or withdraw a consent you gave. You can also nominate someone to act for you if you are unable to.
- Write to our Grievance Officer about any of this. We reply to data requests within 30 days (the law allows up to 90).
- If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
